CUSTOM CRM DEVELOPMENT · UK

Custom CRM development in the UK, built around how your team works.

Bespoke CRM software for UK businesses, from London to Glasgow. Connected to your accounts package, inbox and phones, hosted in the UK, with AI agents that handle the follow-up. Fixed quotes and no per-user fees.

HOW WE BUILD

How a bespoke CRM project works

No six-month requirements document. We start from how your business already works, automate the busywork first, and put a working CRM in front of your team early.

  1. 01

    Map

A short workshop on how you actually win and deliver work: enquiry sources, stages, approvals, documents and who does what.

  2. 02

    Automate

We decide what AI agents and workflows take off your team's plate first: replies, chasers, call notes, renewals and reports.

  3. 03

    Build

Your CRM is built in fortnightly releases you can click through, connected to your website, inbox, phones and accounts package.

  4. 04

    Run

Data migrated and checked, the team trained, and support in UK hours. You own the code, the data and the documentation.

WHY CUSTOM

Why UK businesses choose a custom CRM

Stop paying for seats you don't need

Per-user CRM pricing climbs with every hire, and automation sits in the top tier. A bespoke CRM is built once and owned, so growing the team doesn't grow the bill.

Your process, not a template

Off-the-shelf CRMs make you rename fields and work around screens. A custom build has the records, stages and approvals your business really uses.

One place for every enquiry

Website forms, phone calls, email, LinkedIn and referral partners all land in one pipeline, assigned to the right person in seconds.

Follow-up that never slips

AI agents draft replies and chase quotes that go quiet, and reminders make sure every callback, renewal and review happens on time.

Finance without retyping

Quotes become invoices in Xero, QuickBooks or Sage with VAT applied, and payment status flows back to the deal.

Data you control

Hosted in a UK region or on your own servers, with role-based access and a full export whenever you want it.

CUSTOM VS OFF-THE-SHELF

Renting a CRM or owning one?

Off-the-shelf CRMs are quick to start and expensive to grow into. Here's how the two compare once a team is relying on it every day.

BUILT FOR THE UK

Connected to the tools UK teams already use

A CRM only saves time when it talks to everything else. We build the integrations in, rather than bolting on marketplace apps with their own monthly fees.

Xero, QuickBooks & Sage

Contacts, quotes, invoices and payments kept in step with your accounts package, ready for Making Tax Digital and the move to e-invoicing.

Microsoft 365 & Google Workspace

Outlook or Gmail conversations and calendar meetings logged on the right record, with Teams or Slack alerts for hot leads.

Phones & VoIP

Click-to-call, call logging and recordings from RingCentral, Aircall, 3CX or your existing phone system.

Companies House lookups

Pull registered company details, officers and addresses straight into a new account instead of copying them by hand.

Payments & Direct Debit

Stripe or GoCardless links on quotes and invoices, with payment status updating the deal automatically.

AI agents that do the work

Agents that qualify enquiries, summarise calls and email threads, suggest the next step and keep records clean, with your team in charge.

BY INDUSTRY

Bespoke CRM software for UK sectors

Every industry has its own records and rules. Your CRM should hold the ones your business actually uses.

Estate & letting agents

Applicants, valuations, viewings, offers, tenancies and renewals, with portal enquiries pulled into one pipeline and compliance dates tracked.

Recruitment agencies

Candidates, clients, vacancies, interviews, placements and rebates, with consent and retention dates handled for UK GDPR.

Law firms & professional services

Enquiries, conflict checks, matters, deadlines and fee quotes, using our Legal & Law edition or a fully custom build.

Trades & field services

Quotes, site surveys, jobs, engineers, certificates and service reminders, with the office and the van working from the same record.

B2B, manufacturing & wholesale

Accounts, price lists, quotes, orders, distributors and account managers, with renewals and reorders chased automatically.

Training, education & membership

Enquiries, courses, enrolments, renewals and instalments, with automated reminders by email and text.

PRICING

What a custom CRM costs in the UK

We price bespoke CRMs as a fixed quote after a short scoping call, so the number you approve is the number you pay. After launch, support is optional and there are no licence fees per user.

What decides the cost

  • Number of modules (leads, sales, jobs, bookings, billing, support)
  • Integrations: accounts package, Microsoft 365, phones, payments, website
  • Number of roles, teams and approval steps
  • Migrating data from spreadsheets or an old CRM
  • Customer portal, AI agents, hosting and ongoing support

Need to start this month? SalesKnot is $25 per user per month, or $35 with an industry edition, with setup quoted once. We'll tell you honestly when a custom build makes more sense.

BUYER'S CHECKLIST

How to choose a CRM developer in the UK

Before you sign with any CRM supplier, ask these six questions. They matter more than the feature list.

  • Will it fit how your team works today, or will they keep a spreadsheet on the side?
  • What will it cost per user in three years, including the automation tier?
  • Does it connect to your accounts package, inbox and phone system?
  • Where is the data hosted, and can you export all of it at any time?
  • Who owns the configuration and code if you change supplier?
  • Is support available in UK hours from someone who knows your setup?

FAQ

Custom CRM development in the UK: common questions

How much does custom CRM development cost in the UK?

It depends on the modules, integrations and data migration. A focused CRM for one team is a much smaller build than a multi-department system with a customer portal. We give a fixed quote after a short scoping call, with no per-user licence fees afterwards. If you want something ready-made, SalesKnot starts at $25 per user per month.

Is a bespoke CRM better than HubSpot or Salesforce?

Not always. If your process matches their standard setup, a platform can be the quickest route, and we set those up too. A bespoke CRM wins when your workflow is specific, per-seat costs are climbing, you need deep integrations, or you want to own your system outright. We compare both honestly on the first call.

Is the CRM UK GDPR compliant?

We build to UK GDPR from the start: lawful basis and consent recorded on each contact, retention rules, subject access and erasure requests handled in a few clicks, role-based access and audit trails. Hosting can be in a UK region so personal data stays in the country.

Can it integrate with Xero, QuickBooks or Sage?

Yes. Contacts, quotes, invoices and payments sync with your accounts package, so nobody retypes figures and VAT is applied consistently.

Will the CRM be ready for UK e-invoicing?

The government has announced that VAT invoices are moving to mandatory e-invoicing later this decade. Your CRM doesn't need to issue e-invoices itself; we connect it to your accounts package and its e-invoicing provider so quotes, orders and invoices flow without retyping.

How long does a custom CRM take to build?

A first working version for one team usually goes live in weeks, not months, and we add modules in fortnightly releases after that. You see and test progress throughout rather than waiting for a big reveal.

Do you work with businesses across the UK?

Yes. We work remotely with companies in London, Manchester, Birmingham, Leeds, Glasgow, Edinburgh, Bristol and across the UK, with calls in UK business hours.

Can you migrate us from our current CRM or spreadsheets?

Yes. We map, clean and de-duplicate data from Excel, Google Sheets, HubSpot, Salesforce, Zoho, Pipedrive, Dynamics or a legacy system, and check it with you before go-live.

Do you also work with Microsoft Dynamics 365?

Yes. Dynamics is where our CRM work started, including projects for Vodafone UK. We still audit, fix and support Dynamics 365, and we'll tell you honestly when a lighter custom CRM would serve you better.
