CUSTOM CRM DEVELOPMENT · USA

Custom CRM development in the USA, built around how your team sells.

Custom CRM software for US businesses, from New York to California. Connected to your accounting, phones, texting and website, with AI agents that answer every lead and handle the follow-up. Fixed quotes and no per-user fees.

HOW WE BUILD

How a custom CRM project works

No six-month requirements document. We start from how your business already works, automate the busywork first, and put a working CRM in front of your team early.

  1. 01

    Map

A short workshop on how you actually win and deliver work: enquiry sources, stages, approvals, documents and who does what.

  2. 02

    Automate

We decide what AI agents and workflows take off your team's plate first: replies, chasers, call notes, renewals and reports.

  3. 03

    Build

Your CRM is built in fortnightly releases you can click through, connected to your website, inbox, phones and accounts package.

  4. 04

    Run

Data migrated and checked, the team trained, and support in US business hours. You own the code, the data and the documentation.

WHY CUSTOM

Why US businesses choose a custom CRM

Stop paying for seats you don't need

Per-user CRM pricing climbs with every hire, and the automation you actually want sits in the top tier. A custom CRM is built once and owned, so growing the team doesn't grow the bill.

Speed to lead, every time

US buyers fill in three forms and take the first call back. Instant routing, text replies and AI agents make sure that call comes from your team, day or night.

Your process, not a template

Off-the-shelf CRMs make you rename fields and work around screens. A custom build has the records, stages and approvals your business really uses.

One place for every lead

Web forms, Google and Meta ads, calls, texts, email and referral partners all land in one pipeline, assigned to the right rep in seconds.

Billing without retyping

Estimates become invoices in QuickBooks with sales tax applied, card or ACH payments collect through Stripe, and status flows back to the deal.

Data you control

Hosted in a US cloud region or on your own servers, with role-based access, audit trails and a full export whenever you want it.

CUSTOM VS OFF-THE-SHELF

Renting a CRM or owning one?

Off-the-shelf CRMs are quick to start and expensive to grow into. Here's how the two compare once a team is relying on it every day.

BUILT FOR US TEAMS

Connected to the tools American teams already use

A CRM only saves time when it talks to everything else. We build the integrations in, rather than bolting on marketplace apps with their own monthly fees.

QuickBooks & Xero

Customers, estimates, invoices and payments kept in step with your accounting, with sales tax applied consistently.

Twilio texts & calls

Two-way SMS, click-to-call, call logging and recordings, with A2P 10DLC registration handled so your messages get delivered.

Consent & do-not-contact

Opt-ins, opt-outs and quiet hours recorded on every contact, so calls and texts stay on the right side of TCPA rules.

Microsoft 365 & Google Workspace

Outlook or Gmail threads and calendar meetings logged on the right record, with Teams or Slack alerts for hot leads.

Stripe payments

Card and ACH payment links on estimates and invoices, deposits and subscriptions, with payment status updating the deal automatically.

AI agents that do the work

Agents that qualify leads, summarise calls and email threads, book appointments and keep records clean, with your team in charge.

BY INDUSTRY

Custom CRM software by industry

Every industry has its own records and rules. Your CRM should hold the ones your business actually uses.

Home services & contractors

Leads, estimates, site visits, jobs, crews, change orders and maintenance plans, with the office and the truck working from the same record.

Real estate teams & brokerages

Buyer and seller leads from your IDX site, Zillow and Realtor.com, showings, offers, transactions and commissions in one pipeline.

Insurance agencies

Prospects, quotes, policies, renewals and cross-sell opportunities, with renewal reminders that go out automatically.

Law firms

Intake, conflict checks, matters, deadlines and fee agreements, using our Legal & Law edition or a fully custom build.

Call centers & inside sales

Campaigns, call lists, dispositions, callbacks and agent dashboards, using our Call Center edition or a custom build.

B2B, SaaS & distribution

Accounts, opportunities, quotes, onboarding, renewals and partner channels, with handoffs between sales and success built in.

PRICING

What a custom CRM costs

We price custom CRMs as a fixed quote after a short scoping call, so the number you approve is the number you pay. After launch, support is optional and there are no licence fees per user.

What decides the cost

  • Number of modules (leads, sales, jobs, bookings, billing, support)
  • Integrations: QuickBooks, phones and texting, payments, Microsoft 365, website
  • Number of roles, teams and approval steps
  • Migrating data from spreadsheets or an old CRM
  • Customer portal, AI agents, hosting and ongoing support

Need to start this month? SalesKnot is $25 per user per month, or $35 with an industry edition, with setup quoted once. We'll tell you honestly when a custom build makes more sense.

BUYER'S CHECKLIST

How to choose a custom CRM developer

Before you sign with any CRM supplier, ask these six questions. They matter more than the feature list.

  • Will it fit how your team sells today, or will reps keep a spreadsheet on the side?
  • What will it cost per user in three years, including the automation tier?
  • Does it connect to your accounting, phones, texting and website?
  • Does it record consent for calls and texts?
  • Who owns the configuration and code if you change vendor?
  • Is support available in your time zone from someone who knows your setup?

FAQ

Custom CRM development in the USA: common questions

How much does custom CRM development cost?

It depends on the modules, integrations and data migration. A focused CRM for one sales team is a much smaller build than a multi-department system with a customer portal. We give a fixed quote after a short scoping call, with no per-user licence fees afterwards. If you want something ready-made, SalesKnot starts at $25 per user per month.

Is a custom CRM better than HubSpot or Salesforce?

Not always. If your process matches their standard setup, a platform can be the quickest route, and we set those up too. A custom CRM wins when your workflow is specific, per-seat costs are climbing, you need deep integrations, or you want to own your system outright. We compare both honestly on the first call.

Can the CRM send texts and make calls?

Yes. We connect Twilio or your existing phone provider for two-way texting, click-to-call and call logging, register your numbers for A2P 10DLC so messages get delivered, and record consent and opt-outs on every contact.

Can it integrate with QuickBooks?

Yes. Customers, estimates, invoices and payments sync with QuickBooks Online or Xero, so nobody retypes figures and sales tax is applied consistently.

Is our data secure and private?

Your CRM runs in a US cloud region or on servers you control, with encrypted connections, role-based access, audit trails and daily backups. We build in the controls state privacy laws such as the CCPA expect, including access and deletion requests.

How long does a custom CRM take to build?

A first working version for one team usually goes live in weeks, not months, and we add modules in two-week releases after that. You see and test progress throughout rather than waiting for a big reveal.

Do you work with businesses across the United States?

Yes. We work remotely with companies from New York to California, including Texas, Florida, Illinois, Arizona, Georgia and Washington, with calls scheduled in your time zone.

Can you migrate us from our current CRM or spreadsheets?

Yes. We map, clean and de-duplicate data from Excel, Google Sheets, HubSpot, Salesforce, Zoho, Pipedrive, GoHighLevel or a legacy system, and check it with you before go-live.

Do you also work with Microsoft Dynamics 365?

Yes. Dynamics is where our CRM work started. We still audit, fix and support Dynamics 365, and we'll tell you honestly when a lighter custom CRM would serve you better.
